[Our Lady of Fatima University] A Change Management Approach to Standardized Course Design Using Blueprints in Canvas
Okay. So let me introduce myself again. So my name is Marisa Chua. I'm the head of the Elite Center. So this is the EdTech EdTech department of Our Lady Fatima University. Later on, you will see my LMS coordinator.
He will discuss the second part of our presentation. So to start my presentation, Okay. So let me start with a question, who are we? Okay. So our university spans six campuses, going seven actually, With sixteen colleges and departments. And to date, we have one thousand four hundred ninety blueprints.
K. And these blueprints or our department is from the basic education department grad up to the graduate school, including the College of Medicine. And as you can see, based on the number of blueprints that we have, we are showing our scale and commitment to digital learning. K. So let me share with you our road map regarding the journey that we had in our university.
So we started with establishment of our EdTech arm, which is the EdTech Center. This is just an acronym. So it stands for Education, Learning, Innovation, and Technology Enhancement Center. And the next one, we also, to ensure strong implementation. We identified Canvas Champions in every college and campus.
Okay. And of course, k. Of course, to, for us to have the, formal, to formalize everything, we created, our policies and guidelines. Laying the foundation of a sustainable LMS journey. Okay.
We use the Cutter's eight step change model wherein this is our guide. So this model help us to create urgency, to build coalitions, and of course, to generate quick wins and anchor the new approach in our policy. Okay. And then our change model approach, we broke down in our course strategy into four pillars. So we have the awareness, support, training, and of course, the reinforcement.
Each pillar ensured smooth adaption and long term sustainability. Okay. Let me start with awareness. Okay. For the awareness, by the mandate of our university president to communicate the benefits of change to our faculty, to our student support services like the library, center for guidance services.
We also have the ITDS and even the HRD. We invited also the HRD for the implementation of this. Another one is a university wide campaign. Okay. A university wide campaign will was launched using emails, using our social media, using, PubMats or posters.
And we also utilize the campus bulletins to feature faculty testimonials and success stories. And we also, adopted Canvas games. Okay. So there you have it. So we have the, Canvas pop up quiz.
So we have different set of questions about Canvas. We also have a quiz wherein the faculty should change their profile picture. So afterwards, there are, we implemented awarding ceremony for those who were, participated. Okay. And then, we also have general assembly and orientation for our students, staff, and faculty.
And lastly, pilot programs was carried out for our small campus before we have the full scale implementation. Okay. Next is the training. Okay. So faculty were engaged through hands on training or hands on workshop in terms of using Canvas Learning Management System and Course Blueprint Development.
To complement this, we also provided faculty members with a teacher kit or a step by step guide and a Canvas video tutorial to ensure learning and of course, for a self paced learning for our faculty. Also, we implemented a role based training program. And also, we have the training plan. The training plan was also integrated in our faculty development and HR onboarding programs. Okay.
And of course, lastly, we have the continuous training for our faculty members, especially Canvas, are Dating. Okay. Next, we have is the support. Okay. For the support, we have our we have two approaches, actually.
For the on-site help desk. So we have the help desk or we have the LMS support team that can assist our students and faculty for immediate assistance or for technical guidance. And for those who are at home, we have our online concierge. And another one, as I've mentioned earlier, each, college or each department, they have their designated champions for them to be served as a point person in guiding their peers for a consistent implementation of our, course blueprints across the university. Okay.
And then we also have the recognition and motivation. Of course, I think this is very important. Because when we started this one, I think it was before the pandemic. K? So we have here the help desk. So we automate everything.
So we provide the frequently asked questions to all our faculty and students. Okay. In addition, we provided the university Canvas course template. So I know you're all familiar here. So in our template or in our Canvas blueprint, of course, we have the homepage.
So we gave also the standard content of our homepage. We also have the syllabus. All syllabus should be uploaded in their Canvas as part of the menu, And we have the modules. Now, for us to have a recall, inside the module, I know you're familiar with this one. Inside the modules, these are the items that should be part of the module.
We call this one as PDF AURA. Just an acronym. Okay? PDF stands for Sorry. Let me go back. Okay.

Okay. And of course, the last pillar is a reinforcement. So, for the reinforcement, of course, we are monitoring and evaluating the Canvas course blueprint of our university. As you can see here, we have here the We provided the rubric for our faculty. So what we did is to have the two pronged approach.
So meaning, if I am the college, I have the partner college who will evaluate my, blueprint following the rubric that we provided. Okay. And then, inside your module, as part of the pages, we also provided them, a course file. This is a course template that all our college or all our departments and colleges are adapting or following. Okay.
And, lastly, we have the leadership reinforcement. I think this is very important. It played a key role in guiding and motivating our faculty for the successful implementation of our course blueprints. And aside from that, our university is very generous because they provided us a monetary incentive for all the course blueprints that we are about to finish. So all of the teachers are very eager to finish because at the end of the day, they have something to to kick.
Okay? And as as one of our role in our department is to monitor and evaluate this the development of the course blueprints. Right? Practically overnight, we shifted from face to face classroom to fully digital spaces. Students and faculty Students and faculty had to adjust to online platforms instantly. In a matter of, weeks, Perhaps maybe days. And this highlighted a very crucial and Critical and needs that, every institution Has. First one is clarity.
The second is consistency. And the third one is resiliency in course designs. So let me recap. Why standardization is urgent. So we highlighted four different insights.
First, the problem of inconsistency. Without in start, standardization, our courses look very different from each other. Some were very rich and detailed and the others are plain and dull. For students, this meant that confusion and Disengagement. So as you can see, and it addresses more of the clarity.
For the faculty, it meant, so much wasted time. So we have to address efficiency. And for the institution, it post serious quality assurance challenges. So it was clear that without structure, digital learning would remain be fragmented. And second, standardization matters.
Now standardization is not about just making everything uniform. For, the students or every students, they should get consistent, clear, and reliable experience. And for the faculty, it frees up time to focus on teaching instead of setting up DLMS. And for the university, it ensures quality is uphold. Every program.
And the third one is the change management. Lastly, what we call the blueprints that Mamchua was, has presented. So to achieve this, we took a change management approach. And we invested in awareness, training, and support. Making sure that the faculty understood the wise and felt capable of the house.
And here's where the Canvas blueprints became critical. They allowed us to create master course shells. With the standard design while still get giving the faculty a room for customized content, respecting their intellectual property and education or academic freedom. And for the last one, what are the impacts and what we have learned? So the results, the results were encouraging. Students found navigation smoother.
Faculty appreciated the time spent and the university gained stronger quality assurance. But with the biggest challenge or the the biggest lesson is this. The change is never about the tools. It's about the people, the principles, collaboration, and culture. So that's what made adoption sustainable.
And to summarize, the digital shift in education demanded the clarity and resiliency. And standardization through Canvas blueprints gave us the foundation. But the change management made it last. Again, the change management made it last. And so we leave you with this strong quote.
