[CIIT College of Arts and Sciences] Leveraging AI (Gemini) for Enhanced Faculty Academic Workflows

Video Transcript
So today I'll be sharing with you something that I believe can truly change our lives. Our day to day lives as educators. This is leveraging AI to transform our academic work flows. So this will be a practical, how to session, and my goal is to show you concrete prompt driven methods to save time and half your teaching starting today. Okay. So let's start with a shared reality.

As educators, one of our most valuable resource It's time. K? But as we all know, we are facing a growing administrative Burden. Okay. So think about the repetitive tasks that we do daily. So from creating assignments, crafting rubrics, Producing feedbacks for our students.

While these tasks are necessary, they can they can impact our limited time. K? So time that could be used for There is time for high impact activities like one on one with our students or engaging students in our classrooms. So here comes an opportunity where we can leverage AI. So we can use AI as a copilot, not a replacement for us. K? So the opportunity is to use AI to automate the mundane and augment our expertise.

In doing so, we free up our most valuable resource, which is again, our time and focus on what that matters most, which is our students. Okay? So let's get practical. So one of our most common pain points as educators is crafting rubrics, especially if it's a brand new rubric. K? So we all know how time consuming crafting a clear comprehensive rubric is from a blank page. So the process is relatively simple.

Leveraging AI again, we use a detailed structured prompt to generate a formatted output. K? So what does that mean? So here's an example of a refined rubric prompt. K? So I found that using refined prompts like this can save you even more time just instead of just telling your AI tool, craft me a rubric. K? You can instruct the AI generate the rubric in a CSV format. I'll explain why later.

K? So we can also see that the prompt The top ramp consists of telling what the AI is. So you're you say that you are an expert crafting comprehensive rubrics. It defines the role. It defines the columns. It even defines certain quotation marks and gives out user inputs that are needed to craft the rubric.

K? So this refined rubric, you can play with it. You can download it. Use it. So I've tested this in Gemini and chat GPT, and I'll explain why we need the CSV for a month. Okay? So why does CSV format? Because we can easily input the output of the chat tool, the AI tool into Canvas.

Okay? We just copy the output a notepad file or a text editor file, save it as a CSV. I like to use import underscore rubric as its file name so that I can easily remember what the file was. So after doing that, we can go into Canvas' rubric module and import the rubric itself. Okay? This allows us to generate a rubric in around two minutes time, filled in with all the rest relevant data. K? And also the points.

K? So this is will be just this is just the starting point for you guys. You can easily modify the rubrics. You can easily modify the points however you like. But the AI tool gives us saves us time. K? By doing so.

K? So aside from creating rubrics, again, one of our pain points then is creating assignments. So like with the rubric, the challenge is to create diverse and effective assessments from a deck from a document or a lecture or a video, etcetera. K? Like, with crafting rubrics, the process is simply using a detailed prop. Okay? So you'll hear me you'll hear me repeat, use a little structured prompt, use a little structured prompt because that's what is really needed to make a effective, k, AI tool. So again, use leveraging AI.

For example, you're a social studies teacher, social studies class, your prompt could look something like this. K? So notice how we're not just asking for questions, we're also specifying its role. Again, you're a high school social studies teacher. We're giving it context in the Philippines talking about the AIDS revolution And also, we're specifying that they should encourage critical thinking, connect to modern faith in society, and consider different perspectives. So training the AI.

K? To not just, regurgitate out a very general questionnaire for our students, but also something more specific to our context. So you can use, you can use whatever standard, whatever curriculum your school is currently using, input it as a variable in the prompt. K? So this guides the edit AI to generate a more meaningful and relevant output our students. Now if you're using Gemini, you can easily export it to Docs. And then from docs, you can easily export it into your Canvas, accounts or Canvas modules.

Like so. So that's why I I like using Gemini. It's it's native integration with the Google Workspace allows us to easily do this inside the app itself. So without leveraging, using, external tools, everything is in a certain ecosystem. Now, the third one, of course we have the rubrics, we have the assignments is providing feedbacks especially for those whose output is text based.

For example, English classes, Filipino classes, etcetera. So again, the challenge is to provide a personalized, timely, and specific Feedback at scale. Okay? So like with all others, again, we use a little structured prop to generate. Informative output while cultivating a growth mindset and of course, respecting our context again. Okay? For example for example, in a Filipino class, you're asked to provide feedback for certain outputs of your students.

Okay? So again, it is important to give the AI tool a role, a specific role. So in this case, we have it act as a compassionate Filipino picture. Okay? So this guides its tone introducing the feedback that we want. So by specifying the need again to respect for example, student's effort and avoid being overly critical especially for those in the younger ages. We're training the AI to align with our cultural values.

K? Here's another example. For example, I Sorry. Go back. So here's another example in Filipino. So we can use any language in using the AI tool whether English or Filipino.

So it, again, as long as you use detailed structured prompts, you give the AI its role. You give the expected output. It will give you a very good first draft. Okay? So remember So Us as educators, we need to put our personal touches to it so that we can so that you can, refine it furthermore. K? Now all of these in crafting rubrics, creating assignments, providing feedback, So everything can be done in any AI tool.

K? I've only chosen Gemini because again, I know that most of us, if not all, are in the Google Workspace. So having a Google account the native integration with other Google apps, for example, Google Docs, Gmail, Drive, Google Sheets, it easy it's easily accessible to everyone, especially our students. Okay? Now when using AI and can, in any situation, we need to be mindful of a few things. Okay? So number one, again, we need to verify whatever the AI is generating. K? The AI generated content is a draft, not a final product.

Always review, fact check, and in refine it to ensure accuracy and alignment with your goals. So don't take whatever AI gives you at face value. Always question it, always refine it, always factual It always double check. K. Next is consider ethics.

Okay? Always be transparent with your students whenever you use AI. For example, in grading their Output. Okay? And crucially, never ever, I hope no one does this, Never ever input sensitive or confidential student information into any public AI facing tool. K? Even if it says below that this AI tool does not use your data to train its models. Yeah.

So I hope no one puts sensitive or confidential information of any kind, actually. And finally, remain remember that AI should be about empowering us as educators, not replacing us. Okay? This technology should enhance, not diminish the role of the educator. It's a tool for efficiency so you can spend more time on the truly human part of teaching and to again, to focus on what's really important to us, which is our students. Okay? So with that said, thank you for listening, in this short time. Okay.
